An Executive Assistant plays a critical role in supporting executive leadership within an organization. This role involves providing comprehensive administrative and clerical assistance to ensure the smooth functioning of the executive's daily activities. The Executive Assistant serves as a trusted partner to the executives, handling a wide range of tasks with professionalism, confidentiality, and efficiency

Responsibilities

  • Calendar Management: Coordinate and manage the executive's busy schedule, including arranging meetings, appointments, and conference calls. Prioritize and handle scheduling conflicts, ensuring the executive's time is optimized.
  • Communication: Act as a liaison between the executive and internal/external stakeholders. Manage emails, phone calls, and correspondence on behalf of the executive, handling inquiries and providing timely responses.
  • Travel Arrangements: Organize and coordinate travel arrangements, including flights, accommodations, transportation, and itineraries, considering any special preferences or requirements.
  • Meeting Support: Prepare meeting materials, agendas, and presentations. Attend meetings to document, summarize and follow up on action items as necessary.
  • Data and Information Management: Handle sensitive and confidential information with utmost discretion. Maintain records, databases, and files, ensuring they are up-to-date and easily accessible.
  • Decision Support: Assist in gathering information and conducting research to support the executive in making informed decisions. Present findings in a clear and concise manner.
  • Event Planning: Help organize and coordinate corporate events, conferences, and other special functions.
  • Budget Management: Assist in tracking expenses, processing invoices, and managing the executive's budget.
  • Project Coordination: Provide support for various projects, including monitoring timelines, milestones, and deliverables.
  • Gatekeeping: Screen and prioritize phone calls and visitors, managing access to the executive as needed.
  • Relationship Building: Foster positive relationships with key stakeholders, clients, and team members on behalf of the executive.

Qualifications

  • Proven experience as an executive assistant.
  • Experience within the travel and/or hospitality industry preferred.
  • Excellent organizational and time management skills, with the ability to handle multiple tasks simultaneously.
  • Exceptional attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Proficiency in using office software and tools (e.g., Microsoft Office Suite, email, calendar management).
  • Discretion and ability to maintain confidentiality.
  • Problem-solving and decision-making abilities.
  • Flexibility and adaptability to work in a dynamic environment.
  • Strong interpersonal skills and ability to work effectively with diverse personalities.
  • Professional demeanor and a positive attitude.
