Responsibilities

This position is responsible for arranging travel arrangements for transferred employees and business travelers from Toyota Motor Corporation and its group companies, contributing to their safe and secure travel.  This position, working with Toyota Tourist in Japan, will also support those Japanese business travelers during their stay in the U.S. for the launch and model change of Toyota's and related companies' U.S. operations to ensure that their projects proceed as planned.

Essential Duties and Responsibilities include the following. Other duties may be assigned.

  • Operational
    • Research, Create, and Execute exceptional itineraries for clients.
    • Effectively manage your time when researching trips and communicating with clients.
    • Review individuals’ needs and wants for travel, to ensure you can cater to a trip specially designed to meet their needs and budgets.
    • Resolve customer complaints in a timely manner and report to the supervisor.
    • Build a good and trusting relationship with the clients.
    • Provide relevant information in a timely manner.
    • Attend travel seminars and training to remain updated with trends.
    • Enter data into the excel file and task chart to and maintain the necessary information.
    • Work alongside other team members.
    • Attend the clients at outside of the office or other state as needed.
    • Provide support when an emergency happens.
    • Business trip to other states for business purposes.
  • Sales and Marketing Development
    • Create promotional materials to utilize.
    • Conduct market research to know the clients’ needs.
    • Assisting in marketing activities by demonstrating expertise in various areas (content development and optimization, advertising, events planning etc.)
    • Posts and updates latest travel information on the company's website and social media.
  • Customer Service/Reservation
    • Ensure that business travelers from Toyota Motor Corporation and its affiliates adhere to the company policies of each company when traveling.
    • Informs the supervisor of any business travelers who do not comply with the policies.
    • Offers advice, plans, and arranges for clients’ leisure trips.
    • Collects payment from clients for travel, lodging, and attraction tickets.

Qualifications

Education and/or Experience :

  • Degree from Junior College or higher and work experience in a travel agency or client service, reservations, or sales experience in a company in related industries, or equivalent combination of education and experience.  Familiarity with Japanese client service customs.

Language Skills (English and Japanese)

  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.  Ability to write routine reports and correspondence.  Ability to speak effectively before groups of clients or employees of organizations.

Mathematical Skills
