As a Sales Assistant, you will facilitate support to Vacation Travel Advisors, proving them and their clients with a broad range of support and services related to the lifecycle of each booking. Your contribution and attention to detail are vital to the Advisor´s sales success and client´s staisfaction, and in turn the business division´s success.
Sale Invoice Preparation and Modification: Using our Poin-of-Sale system (AgentMate) build the individual bookings made by the vacation travel advisor, entering all components, pricing, and details for review by the advisor. Updating the booking as modifications are made and sending updated invoices to customers. Recording changes/ date in AgentMate. Provide the client with a revised invoice showing changes.
Updating Third Party Purchases: As advisors need sales assistance; Follow up with clients prior to payment deadlines and processing those payments with Suppliers, using client credit cards, agency credit card, agency check or supplier vouchers. Record all payments and disbursement in AgentMate. Send updated invoices to clients are payments are excuted.
Advise Guest of Schedule Changes: As advisors need sales assistance; Advise passengers when any aspect of their vacation will operate on a schedule variance - this could include bus or air schedule, tour or cruise itinerary changes, etc. Document in AgentMate when communications are executed/ sent.
Reports: Run reports from Agent Mate and create spreadsheets to better analyze sales activity and performance by agent.
Supplier Phone Hold: During peak seasons and high call volumes, helping with long hold times with suppliers (monitoring for live answer) during a special booking promotion; or help with setting up special services for a client.
Marketing: Design and prepare customized flyers for Escorted affinity groups. Design and generate monthly marketing emails with these groups and other client communication.
Design and work closely with agent to prepare Zoom presentations for existing and potential clients of groups or other promotions.
Additional: Special projects and/ or tasks as assigned by Manager on a need basis.
