Responsibilities

JOB OVERVIEW:

A Principal Advisor for GTC is seeking an Administrative Assistant to provide a versatile range of administrative support by performing back-office duties, such as preparing invoices, spreadsheets, client correspondence, etc. 

 

  • Work schedule can be Monday through Friday:
    • 1st choice:  10 AM to 6:45 PM EST (including 45-minute paid lunch); or
    • 2nd choice:  9 AM to 5:45 PM EST (including 45-minute paid lunch)

 

RESPONSIBILITIES:

  • Prepares invoices, handles bookkeeping, manages spreadsheets, and creates other documents as needed.
  • Performs administrative support tasks such as emailing, downloading information, compiling spreadsheets, and maintaining records.
  • Learn basic booking techniques for routine travel services, such as transportation, hotels, simple airline tickets and assist with concierge-type requests.
  • Completing client proposals and travel itineraries via software templates.
  • Reviewing unclaimed commission lists and contacting vendors who have not yet sent monies due.
  • Updating Principal Advisor’s blogs and other social media sites.
  • Sort incoming emails and separate out leads into a queue to be actioned.
  • Assist with maintaining Principal Advisor’s calendar and schedule.
  • Miscellaneous administrative activities and assignments as needed.

Qualifications

QUALIFICATIONS:

  • High School Diploma/GED.
  • Minimum one (1) year of administrative assistant experience.
  • Minimum one (1) year of travel industry experience.
  • Minimum six (6) months of Sabre GDS experience, or equivalent Sabre GDS training.
  • Proven ability to multi-task, be detailed-oriented, and consistently meet deadlines.
  • Must be proficient in Microsoft Office Suite (including Excel, Outlook, PowerPoint, and Word).
  • Must have experience with the TERN travel technology platform.
  • Strong English communication skills (verbal and written).
