Responsibilities

This role will lead the Andrew Harper Signature Tours division by developing, marketing, and operating premium travel experiences that drive profitability. This role combines business development, team management, and hands-on operations to create exceptional programs for discerning travelers while contributing to organizational growth initiatives.

 

Program Development

  • Create and design Hosted Group Tours for Andrew Harper members.
  • Conduct research and development of Hosted Group Tour itineraries, including choosing destinations, AH Recommended hotels/resorts, sightseeing, special events and highlights, restaurants, museums, including bespoke exclusive experiences.
  • Continually engage with DMCs for all logistical aspects of the tour, including up-to-date events, sightseeing, guides, insider access to events, best transportation modes, etc.
  • Cultivate relationships with members for future business.

Marketing

  • Working with the marketing team to design detailed online and print marketing materials to ensure accurate depiction of programs, and coordinate proofing between marketing and other stakeholders when applicable.

Operations

  • Prepare detailed traveler and staff itineraries that include all supplier details, sightseeing notes, staff advance logistics, menu selection, venue set-up, menu cards, and dietary requests.
  • Work with marketing to design various documents needed for tour operations throughout the booking process such as hotel upgrade forms, special activity signups, packing itineraries, etc.
  • Work with marketing to create final day-by-day itinerary including copy and graphics. Oversee the production of all final documents.
  • Maintain accurate records of customer deposits and vendor payouts by monitoring payment schedules; ensure all deposits, additional payments, and final payments are received and disbursed on time according to vendor contracts before trip departure.
  • Respond to member inquiries via phone and email regarding the Hosted Tours; assess client needs, gather relevant information, and determine next steps.
  • Review and coordinate every segment of the client’s journey, including transportation logistics, seating or any special services required.
  • Collect traveler details via reservation confirmation forms.
  • Maintain group tour spreadsheets current with key details such as pre/post-night arrangements, hotel room counts, and guest numbers for each segment to support accurate planning and execution.

Finance & Accounting

  • Collaborate with the VP of Product & Partnerships to develop and manage comprehensive tour costing from inception through completion—including per-person costs, and single supplements—to ensure appropriate pricing and margin targets are met.
  • Work with the Sr. Director of Operations and Accounting to conduct thorough post-tour reconciliation and financial analysis, ensuring that actual expenditures align with budgeted costs and that margin objectives are met.

Qualifications

  • 10+ years of customer/membership support experience
  • Excellent written and oral communication
  • Ideally have background in group travel planning and program development
  • Ideally have experience with an affluent customer base
  • Proactive attitude with an ability to creatively solve problems quickly
  • Excellent time management and organizational skills
  • Ability to prioritize and meet deadlines working under pressure
  • Computer and Technology savvy
