Responsibilities

This role provides day-to-day support to ensure calendars, meetings, and projects run smoothly. The Executive
Assistant will focus on coordinating schedules, preparing materials in advance of meetings, and handling travel and
expense management. The ideal candidate is highly organized, detail-oriented, and able to keep things moving in a
fast-paced environment.


Essential Duties and Responsibilities:

  • Meeting & Calendar Management
    o Schedule and coordinate meetings with internal teams and external partners
    o Ensure materials and decks are prepared in advance, especially for recurring internal meetings where
    data is required
    o Track agendas and follow-ups to keep meetings efficient and outcomes clear
  • Preparation & Coordination
    o Work with teams across the business to collect data and updates for leadership meetings
    o Maintain a checklist to ensure all decks and reports are finalized ahead of time
    o Support with note-taking and action tracking as needed
    o Manage team project lists and ensure that they are up to date
  • Travel & Expenses
    o Arrange travel, including flights, hotels, and transfers
    o Process expense reports
  • General Administrative Support
    o Manage email and correspondence as needed
    o Handle ad hoc requests and provide general administrative support to keep daily operations running
    smoothly

Qualifications

• 3+ years’ experience in an administrative or EA role
• Strong organizational skills and attention to detail
• Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Word, Excel)
• Ability to work independently and manage competing priorities
• Clear communicator who can work across multiple teams
• Experience handling travel and expenses preferred

The salary range on this job posting/advertising has been developed to give applicants a range based on the local market where the candidate would be working.  Many factors, such as years of experience, budget etc. are considered when determining the starting rate of pay. 

 

This role may be eligible for an incentive, commission, bonus, or a discretionary bonus program based on the company’s financial goal achievement and individual performance.
