Responsibilities

OVERVIEW:

 

ALTX Collective’s- high energy Music Travel Division with offices in Los Angeles, Montevideo and London are looking for an experienced administrative support and travel coordinator to join the Housing Team.  Someone who is eager, motivated, accountable and well-organized. This Agent will be responsible for supporting a high-volume, fast-paced business and will work closely with internal leadership and client management teams. Core functions include commission tracking, invoicing, building spreadsheets, data entry and supporting tour booking processes- contracting and hotel advancing. Candidates must be detail-oriented and committed to supporting the team in delivering quality service to clients. Candidates must be flexible and have a “do whatever it takes” mentality in their approach to work. You will be required to think outside the box and be a self-starter who can take control of a situation.

 

 

RESPONSIBILITIES:

  • Perform administrative tasks such as emailing, downloading and compiling hotel information, proposals and offers. Building /compiling / maintaining Hotel Tour spreadsheets, filing, and maintaining client records.
  • Prepare commission reports, memos, rooming lists, riders, spreadsheets and other documents as needed.
  • Respond to client inquiries and concerns with a sense of urgency.
  • Independently review client reservations for accuracy and quality, proactively correct errors
  • Track and manage changes and cancellation requests efficiently and courteously.
  • This position requires building and maintaining client and vendor relationships and being able to interact comfortably in a forward-facing role.
  • Engage with clients to meet group schedule requirements, deadlines and budget constraints.
  • Discretion and professionalism are non-negotiable as this position will require interaction with or involving VIPs, Talent, Artist Management and Staff.
  • Conduct all business in line with standard procedures. Take 100% ownership of duties and ensure that client expectations are exceeded.
  • Troubleshoot issues, research and proposing solutions to any travel-related problem clients may experience and working collaboratively with team and clients.
  • Partner with supervisor and peers to correct errors and ensure they are not repeated.
  • Essential; Must have excellent communication skills and enjoy working with demanding clientele.

 

Qualifications

QUALIFICATIONS HERE:

  • High School Diploma/ GED.
  • Proven ability to multi-task and consistently meet deadlines.
  • Exceptional Microsoft Office skills (EXCEL spreadsheet knowledge /expertise required).
  • Minimum 4 years in a similar admin & travel support role.
  • Detail oriented with strong communication skills (verbal and written).
  • Previous experience in a similar working in a high-demand environment that often requires quick turn, including working on requests for high-profile clients.
  • Regular and dependable attendance and punctuality are required.
  • Travel industry and destination knowledge.
  • Sabre / GDS skills (booking hotels minimum)
  • Must be able to communicate proficiently in English and being bilingual in any language is also a big plus.
